New European AI platform takes on email, meetings, company knowledge and routine admin — aiming to give employees up to five hours back every week

Amsterdam, 10 September 2026 — Answering emails. Writing meeting notes. Finding that document someone shared three months ago. Chasing an approval. Looking up a company policy. Then trying to remember what you were actually working on.

AI Replies believes this is exactly the kind of work AI should start taking off people’s plates.

Today, the Amsterdam-based company launches KAI, an AI workplace platform that brings email, meetings, company knowledge and everyday administration into one interface — designed to give employees up to five hours back each week, or around 20 hours a month.

KAI organises and prioritises incoming email and helps draft replies using company and conversation context. It captures meetings and turns transcripts into summaries, decisions and action points. Employees can ask questions across company knowledge instead of hunting through different systems. Organisations can create teams, assign roles and manage access to information.

The idea is not to give employees another AI destination. It is to make the tools and information they already work with easier to use.

Taking the annoying work out of work

For years, organisations have added software to make work more productive. The result is that employees now spend a significant part of their day moving between those systems: searching, copying information, following up and rebuilding context.

KAI is built around the opposite idea: AI should remove work, not create another place to do it.

“We’ve spent years adding more software to the working day,” says Simon Koop, co-founder of AI Replies and creative director at The Brink Agency. “Now AI gives us the opportunity to make some of that complexity disappear. Nobody comes to work because they love searching through old emails, writing meeting notes or chasing information. That is exactly the work AI should start taking off our plates.”

AI Replies estimates that KAI can save employees up to five hours a week, depending on their role, workflows and use of the platform. That is around 20 hours a month that can go back to the work that requires human judgement, creativity and attention.

Built in Amsterdam, for European organisations

KAI is the first platform from AI Replies, a joint venture between The Brink Agency and Capisoft.

The Brink Agency, part of Dutch Digital Agencies and Dutch Digital Design, brings award-winning design and technology experience, with clients including Spyker Cars and Vanquish Yachts. In 2026, it won Bronze at the European Design Awards for helping TBI introduce a new generation to careers in construction.

Capisoft brings proven AI and SaaS engineering, ranking first in AI & Automation in the Emerce 100 2026. It is also behind Bonnetje, a software product used by more than 500,000 people.

KAI is developed in Amsterdam, stores customer data in the EU and does not use customer data to train AI models — giving European organisations greater control over how AI works with their company information.
